Legal Intake and File Coordinator

Rose Law Group is seeking an experienced Legal Intake and File Coordinator to support client intake, conflict checking, and comprehensive file management, including the opening, maintenance, and closing of client files. Primary responsibilities include handling incoming potential new client calls and inquiries; intake and onboarding of new clients; tracking potential new clients and following up on representation agreements; conducting and overseeing conflict checks; drafting conflict check waivers as needed; ensuring accurate file opening, maintenance, and closing procedures; organizing and maintaining both paper and electronic files; and scheduling client consultation meetings. This position also serves as back-up reception, including greeting and announcing visitors and answering multi-line phone system.

Requirements

•  Requires at least 2 years of relevant experience in a law firm setting, including new client intake processes and procedures

•  Must have a friendly, outgoing personality and a positive attitude

•  Ability to communicate effectively with attorneys, firm leadership, and clients at all levels

•  Must be highly detail-oriented with exceptional proofreading skills

•  Ability to work independently while effectively prioritizing tasks and managing a high volume of intake requests and tight deadlines

•  Proficiency in MS Outlook, Word, Excel, and Adobe Acrobat

•  Ability to operate general office equipment, including printer, copier, and scanner

Full-time position: Monday-Friday/8:00 a.m. – 5:00 p.m. Competitive salary, great benefits and excellent work environment.
